The Complete Office Move Checklist

Office moves fail more often from poor sequencing than from any single bad decision. Here’s a realistic timeline for what needs to happen and when.

Six months or more out

Confirm headcount projections, agree budget range, and start the search for new space if you haven’t already. This is also the point to begin scoping a fit out partner, since good contractors book up in advance and rushed procurement rarely gets you the best terms.

Three months out

Design should be finalised, key long-lead items (furniture, specialist joinery, certain AV equipment) ordered, and your IT/telecoms provider engaged early given typical lead times for new connections. This is also the point to start dilapidations conversations on your existing space if you’re leaving a lease.

Six weeks out

Confirm your moving date with a removals company, communicate the move internally with a clear timeline, and start updating your registered address across banking, insurance, stationery and your website and Google Business Profile.

Moving week and settling in

Have a clear plan for the actual move day — what goes first, who’s responsible for IT being live on arrival, and a short snagging period afterwards to catch anything that needs adjusting once people are actually working in the space.
